Privacy policy

Last updated 28 October 2026

Whoot is an AI agent that helps you find people for roles you're hiring for. This page explains what we keep, why, who helps us run the service, and how you delete it.

What we keep about you

  • Your Hello Minds account id and encrypted sign-in tokens, so your agent can work on your behalf.
  • The name and email you give us during sign-up.
  • Your searches, the summaries Whoot writes, and basic usage counts (searches run, contacts unlocked).

What we keep about the people you find

  • Names, roles, public profile links and a short “why they fit” summary, compiled from public professional sources by our search provider.
  • Email addresses or phone numbers only when you choose to unlock them. These are encrypted at rest, never written to logs, and only shown to you.
  • Any notes and tags you add.

How we use it

Only to run Whoot for you: searching, showing results, remembering your shortlist, and keeping the service working. We do not sell data, show ads, or use your data or candidates' data to train AI models.

Who helps us run Whoot

  • Hello Minds runs your AI agent and its conversation, under its own privacy policy.
  • A third-party people-data provider runs searches and contact lookups.
  • Supabase stores our database; Vercel hosts the website; Resend sends sign-up and service emails.

Sharing

If you create a share link, anyone with the link can see the names, roles, fit summaries and profile links in that search or shortlist, never contact details, notes or tags. Links expire after 30 days and you can turn them off at any time from the account menu.

How long we keep it, and your controls

  • We keep your data until you delete it.
  • Remove any person from the review screen; their unlocked contact details are deleted with them.
  • Download everything we hold about you from the account menu (Export my data).
  • Delete your account from the account menu. This removes your searches, people, contacts, notes and share links from our systems. Your agent itself lives on Hello Minds, which you manage there.

If you appear in someone's results

Whoot only uses information that is already public. If you would like a profile removed or corrected, contact the Whoot team and we will remove it from our systems.

Contact

During the private beta, reach the Whoot team through the person who invited you, or reply to any email we have sent you.
